Are you ready for this? The absolute Asana hack that I use constantly.

  • First, when you create a task, set the due date for the end date you need to meet.

  • Then, create a subtask named "Start of task" and add the date to it.

Your Asana calendar will show the start and end date, and you have it all under the same task.

I also love to add a tag for important tasks that I call "MILESTONE" and ensure that I include these tasks on my high-level Executive Overview.

You can also filter and just look at your tasks called MILESTONE to gain a helicopter view of what the crucial activities you’re aiming for.

I always recommend creating on Asana projects that you do regularly as templates.

For that, on the free Basic Plan, label your project as "[TEMPLATE] Name of Project". For example, “[TEMPLATE] Course launch”.

That way, even if you decide to go with the free version of Asana for your Asana pricing, you can always duplicate projects when you need to reuse the same workflow or steps again.

I do that constantly for my online course launches!

There are some limitations, as changing dates in your duplicate project is a manual task, however, remember, you're using Asana for free and still be able to duplicate whole tasks or projects. Yeah!!!!!

  • Custom fields help you add information fields to your tasks that Asana pricing on the Basic Plan restricts you to do. This can come in very handy in some instances.

  • Tasks dependencies are a pro way of getting your Asana tasks to happen in the right order and keep you on track.

  • Asana timeline will give you a Gantt chart view of your project. If you don’t know what that is, is a visual representation of your activities that let you see at a glance how everything fits together over time. Super useful!

  • Forms is a way to capture information for a project in a standardised manner and keep it connected to your project. It can be great when you have a small team or, in particular, if you want to give access to your customer to a project in Asana to drive their inputs and timeline. Forms will help capture the information quickly for you.

If you need more advanced features, then the Premium Plan can be a better fit. With this plan, you get all the features of the Free Plan plus some additional features like advanced search and reporting, task dependencies, and access to Asana's timeline.

The Premium Plan costs $10.99 per user per month when billed annually, or $13.49 per user per month when billed monthly.

So key question is… do you really need all of this? Only you know. They are fantastic features to have and use… Having said that, if you’re a solopreneur or a small business owner, the chances are you’ll never go any near all of this. 

They might sound great (and they are), but you haven’t got much time to get all the bells and whistles used.

The Business Plan is typically for larger teams. However, don’t discard it immediately if you are a solopreneur or a small business owner. A few features are truly precious in this plan for anyone!

It brings a range of advanced functionality that, in some cases, you would wish to have in cheaper Asana pricing options. You get what you have in the Asana Premium plan plus, among other features:

  • Goals

  • Portfolio management

  • Custom rules

  • Workloads

  • Collaboration functionality: Proofing and approvals

  • Different levels of user rights for data control for custom fields and so on

  • Salesforce integration

  • Unlimited number of team members

  • Access to Asana's API (oh, that’s getting techi now!)

Ok, ok, I get it. A list of features is… boring! What does it all of this mean???

So, of all of the above, let me share a few personal views on elements that could transform your way of operating, save you even more time and, importantly, be on top of your biz and interactions with others.

  • Goals: This I wish was available in the free version of Asana! It’s soooo brilliant that you may consider this Asana pricing only for this. The ability to get and track goals linked to tasks being completed. Perfect for an executive view of your biz.

  • Rules: You know I am all about automation. Well, this one is such a time-saver!!! Imagine creating rules with this Asana pricing to automate manual processes. Imagine, for example, when you complete a series of subtasks, then the next series gets created automatically for you! Oh yes! You can create conditional rules, have preset rules, assign tasks automatically, and so much more.

  • Workloads: As you expand your team, whether virtual or direct, it becomes essential to have an overview of how you are loading your team’s time and tasks to have well-balanced teamwork and utilise the team's capacity to the best. Workloads in Asana Business enables this by giving you workload views of by individual.

  • Proofing and approvals: This feature is essential as you start interacting with other people (your own team, outsourced tasks or clients) to maintain a simple way to review, comment and approve (or request approval) on work in Asana. Very, very powerful. I have seen how complex and time-consuming this side can become without the right technology to enable reviews and approvals without emails or texts backwards and forwards.

  • Portfolios: This is a pro feature of programme management tools I used to constantly use as Programme director (and I don’t need anymore, by the way). It helps you bundle various programmes under one for the purpose of reporting, dependencies, team management, and so much more. This can be a total overkill for small business owners like you. However, as you grow, it can become a must-have.

The Asana Business Plan costs $24.99 per user per month when billed annually, or $30.49 per user per month when billed monthly.

For larger teams and businesses, the Business Plan is a better option.
